How it works
How your agencies connect
Your agencies do not need to change anything. They choose: work in the free supplier portal or connect their own system via SETU, XML or JSON. Either way they see the requests meant for them and supply people within the same schedule.
If your own team and flex pool cannot fill a shift, it automatically goes to your agencies in the order you agreed. Requests, assignment, rates, hours and invoicing follow your purchasing terms. Your terms remain your terms.
- Free portal for agencies without an integration
- SETU, XML or JSON for own systems
- Escalation in the agreed order
- Rates under your purchasing terms
Hours and self-billing without invoice disputes
Clock-in, work tickets, approval and self-billing run in one flow. Hours a temp worker works through an agency are recorded and approved the same way as your own people’s hours. For connected agencies, approved hours go to self-billing.
That saves a lot of checking on agency invoices. You see deviations before they become an invoice problem. On the KPI dashboard you see fill rate, time to fill, cost and no-shows per agency, so you can steer suppliers on performance.
The same rules for everyone on the floor
Agencies schedule within the same platform, so the same checks apply to their people: working-time law, collective agreement rules and certificates at planning, clock-in and hours processing. You can make identity verification via Fourthline mandatory for everyone at your sites, whichever agency they come through.
Staffyou is itself also a staffing agency, but Staffyou WFM is legally, organisationally and technically separated from the staffing activities. Your agencies, rates and data are not visible to the marketplace, and you are never obliged to hire through Staffyou.
Connecting agencies
How to connect an agency
Start with the agencies you already work with. Per agency, record the agreements that now often live in email and spreadsheets, such as rates and the order in which agencies receive a request. Each agency then chooses its route: portal or integration.
From then on the agency works in the same schedule as your own team and flex pool. You see fill rate, time to fill and no-shows per agency, and can drill down to a single shift. Conversations with a supplier are then based on numbers.
Vendor management
All your agencies in one overview
With vendor management you work with all your suppliers through one portal. You send out a request, assign, record rates and receive hours and invoices under your purchasing terms. If an agency cannot fill the shift, the request automatically goes to the next one.
The planner does not have to call around. You get one overview of all external capacity: who works through which agency, at what rate and with what performance. That also makes the annual review with your suppliers more concrete.
Background
What SETU is and why it matters
SETU is the Dutch standard for electronic data exchange in the staffing industry. With it, the hiring company and the agency exchange requests, placements, hours and invoices in a structured way, without retyping or loose spreadsheets.
If you work with several agencies, a standard means less manual work and fewer disputes: everyone works from the same data. Not every agency runs the same systems. That is why Staffyou WFM supports XML, JSON and a portal for agencies without their own integration alongside SETU.
How do you connect staffing agencies to your workforce scheduling?
Through a data exchange standard such as SETU, or a portal in which agencies work directly in your schedule. Staffyou WFM supports both: agencies connect their own system via SETU, XML or JSON, or work for free in the supplier portal. Requests, assignment, rates, hours and invoicing follow your purchasing terms, with self-billing for connected agencies.Client case

Do my current agencies need to change anything?
No. They work in a free supplier portal or connect via SETU, XML or JSON. Hours, changes and self-billing run in the same chain, and your purchasing terms keep applying.
What does the supplier portal cost an agency?
Nothing: the supplier portal is free for agencies. You pay €0.15 per scheduled hour for Staffyou WFM, with the first 500 hours per month free.
Can Staffyou see the data of my other agencies?
No. Staffyou WFM is legally, organisationally and technically separated from Staffyou’s staffing activities. Your agencies, rates and data are not visible to the marketplace.
Do the checks also apply to agency temp workers?
Yes. Agencies schedule within the same platform, so the same checks on working-time law, collective agreement rules and certificates apply to their people.
Can I compare agencies on performance?
Yes. Per agency you see fill rate, time to fill, cost and no-shows, and you can drill down to a single shift.
What happens if an agency does not fill a request?
The request automatically goes to the next agency in the agreed order. Escalation follows the rules you set in advance, so the planner does not have to call around.
