WFM for retail
In a store, staffing per hour decides whether you serve customers well and whether labour cost adds up. Staffyou WFM forecasts demand per store and proposes a roster based on availability and cost. Employees share their availability and swap shifts in the app.

How it works
From expected demand to roster
Staffyou Forecast predicts demand per hour, location and department from your own history, revenue, weather, events and manual input. The proposed staffing is translated into labour cost and compared with your budget or a percentage of revenue.
You compare lean, neutral and generous staffing side by side before publishing. The forecast is then turned into draft shifts. The algorithm fills contracted hours first, avoids overtime and expensive allowances where possible and factors in travel cost. You approve or adjust the proposal.
- Forecast per hour, location and department
- Labour cost against budget or revenue
- Contracted hours first, overtime avoided
- Rosters copied to other stores
Availability, swaps and open shifts
Employees share their availability in the employee app, pick up open shifts and swap among themselves. The rules keep applying and the store manager sees every change straight away. If someone drops out, Staffyou Agent can offer the shift via WhatsApp to employees who already know the store.
With Staffyou Engage you message your own employees via app, WhatsApp, SMS or email, selected by location, role, shift or availability. Only the team of one store gets the call for that one Saturday.
Insight per store and what it costs
Employees clock in on their scheduled shift and managers approve hours digitally. Per location you see fill rate, time to fill, cost, no-shows and scheduled hours, and you can drill down from national level to a single shift.
Staffyou WFM costs €0.15 per scheduled hour, with the first 500 hours per month free. Unlimited users and locations, cancellable monthly and without setup fees. Even with many part-timers, you pay per scheduled hour and not per person.
Rules
Young employees and working-time rules
Retail employs many 16- and 17-year-olds. Staffyou Compliance checks rest periods, maximum hours, breaks and the separate rules for young workers while you plan. Allowances, public holidays and overtime are configured per collective agreement and checked again at hours processing.
You decide per rule whether it blocks the placement or only warns. If a planner overrides a soft rule, the reason is logged in the audit trail.
Organisation
From head office to store: who does what
Head office wants to steer on numbers, while the store manager knows their own team best. In Staffyou WFM you set up roles and locations so store managers build their own roster within the rules and budgets set centrally. Head office follows the numbers per store.
Switching happens per location. Rosters, employees and templates are imported via API or file upload, and you can run in parallel for a while. A pilot in one region or a handful of stores can go live within a few weeks. Support is available seven days a week, from 7am to 7:30pm, including Saturday, the busiest day in retail.
Background
Many stores, many part-timers
A retail chain often plans dozens of stores with many part-timers, school pupils and students. Demand differs per day, per hour and per location: a Saturday in the city centre is not a weekday morning in a neighbourhood store. Public holidays, promotions and seasons make it even less predictable.
At the same time your margin sits in labour cost. Too many people in a quiet hour costs money; too few in a busy hour costs revenue and happy customers. Tracking that per store in a spreadsheet usually shows the gap only afterwards.
What should retail scheduling software be able to do?
Retail scheduling software should match staffing per hour to demand. Good software also fills contracted hours first, respects the rules for young employees and fills open shifts quickly without expensive emergency fixes. Staffyou WFM does that with a forecast per hour and location, an algorithm that also weighs cost, and an employee app for availability and shift swaps.Retail questions in Staffyou WFM
