Scheduling
A good roster should not start from scratch every week. In Staffyou WFM you create shift templates per role and location, and the algorithm proposes a schedule based on availability, skills, cost and rules. You review it and publish with one click.

How it works
How you build a roster in Staffyou WFM
You create shift templates per role and location and copy rosters to other locations. Not sure yet how many people you need? Staffyou Forecast turns a prediction per hour, location and department into draft shifts that go straight into scheduling.
The algorithm then proposes who should work. It matches on availability, skills and certificates, location and travel distance, preferences and ratings. Cost counts too: fill contracted hours first, avoid overtime and expensive allowances, include travel costs. You decide how heavily each factor weighs.
- Shift templates per role and location
- Draft shifts from the forecast
- Proposal based on availability, skills and cost
- Publish with one click or automatically
Rules checked while you plan
Every proposal is checked against the rules before it reaches you. Staffyou Compliance checks working-time law: rest periods, maximum hours per week and per period, breaks, night work and the separate rules for 16- and 17-year-olds.
Collective agreement rules and required qualifications are configured per client. For each rule you choose whether it blocks or warns. Anyone who is not allowed to work cannot be scheduled. With a soft rule, the planner logs a reason in the audit trail.
Open shifts and changes
If a shift stays open, it goes to your flex pool, then to agencies, in the order you set. Staffyou Agent can offer open shifts via WhatsApp and finds cover after a sick call or no-show, until it is filled or the planner takes over.
In the employee app, people share their availability, pick up open shifts and swap among themselves. The rules keep applying and changes show up straight away.
Control
The planner stays in control
A proposal is only a proposal. The planner changes or replaces names, then publishes. Automatic publishing only happens if you set it up, for example within a certain rate, at a certain location or for a trusted group.
Staffyou WFM costs €0.15 per scheduled hour, with the first 500 hours per month free. Unlimited users and locations, cancellable monthly and without setup fees.
Multiple locations
Building rosters for multiple locations
For several sites or departments, you create templates once and copy rosters to other locations. Each location can have its own roles and rules. Centrally you see fill rate, time to fill, cost and no-shows per location, from national level down to a single shift.
Three tips for a roster that holds: publish at a fixed moment, ask employees to share their availability well in advance and set the order in which an open shift goes to your flex pool or an agency. Everything Staffyou Agent or the algorithm does is visible in the schedule.
Getting started
What you need to get started
For your first roster in Staffyou WFM you need your employees, roles, locations and existing rosters or templates. You import them via API or file upload. A pilot at one location can go live within a few weeks.
At the start we set up the rules together: the applicable collective agreement, your house rules and which qualifications each role requires.
Background
From spreadsheets and group chats to one roster
Many rosters start in a spreadsheet and end in a group chat. Availability arrives in loose messages, changes are tracked by hand and nobody knows which version is current. With a few employees that still works; with hundreds of shifts a week it does not.
In Staffyou WFM everyone sits in one roster: your own team, your flex pool and, if you work with agencies, their people too. Planner and employee see changes straight away.
How do you build a good staff roster quickly?
You build a good roster quickly with fixed shift templates per role and location, availability that employees share themselves and software that makes a first proposal. That proposal accounts for skills, contracted hours, cost and working-time law, so you only review the exceptions. In Staffyou WFM this runs from forecast to draft shifts, proposal and publication, with your own team, flex pool and agencies in one roster.Client case
