One planning board, one set of rules, one flow of hours

In four steps

From an empty week to a published roster

  1. Set up

You build shift templates per role and location, for example floor, bar, kitchen and dishwashing.

  2. Plan

The algorithm proposes a schedule based on availability, skills, cost and rules. You adjust or approve the proposal.

  3. Fill

An open shift goes to your own team and flex pool first, then to agencies. Staffyou Agent offers it via WhatsApp.

  4. Publish

You publish the roster with one click. Changes are visible straight away to planner and employee.

How it works

How you build the hospitality roster in Staffyou WFM

You build shift templates per role and location, for example floor, bar, kitchen and dishwashing, and publish the roster with one click. Changes are visible straight away to both planner and employee. With several sites you copy rosters across locations.

To fill the shifts, the algorithm proposes a schedule. It matches on availability, skills and certificates, location and travel distance, preferences, cost and rules. Your own employees come first, then your own flex pool and only then suppliers. The planner adjusts or approves the proposal.

  • Shift templates per role and location, publish with one click
  • Automatic proposal based on availability, skills, cost and rules
  • Source order: own team, own flex pool, then agencies
  • Employees share availability and swap shifts in the app

Sick calls and no-shows: the day itself

In hospitality the difference is often made on the day itself. With Staffyou Agent you gather availability via WhatsApp, offer an open shift and start a replacement flow on a sick call or no-show. Candidates are approached in the right order until the spot is filled. If that does not work, it goes to the planner according to your rules.

You decide who gets approached when, for example your own employees first and no messages after 9pm. Everything the agent does shows up in the schedule, so nothing happens out of sight.

Hours, approval and cost per scheduled hour

Employees clock in on their scheduled shift, managers approve hours digitally and approved hours flow to payroll or to self-billing for connected agencies. Deviations are visible before they become an invoice problem.

Staffyou WFM costs €0.15 per scheduled hour, with the first 500 hours per month free. Unlimited users and locations, cancellable monthly and without setup fees. You do not pay per person in your flex pool, which matters in hospitality with many part-timers and students.

Rules

Collective agreements, working-time rules and allowances while you plan

Staffyou Compliance checks the Dutch Working Hours Act while you plan: rest periods, maximum hours, break rules, night work and the separate rules for 16- and 17-year-olds. Collective agreement logic such as allowances, public holidays and overtime is configured per agreement, as are qualifications such as social hygiene or food safety. The same rules are checked again at check-in and at hours processing.

A rule can be hard, blocking the placement, or soft, giving the planner a warning and logging a reason in the audit trail. The platform makes the rules checkable and demonstrable; responsibility for compliance stays with the employer.

Background

Why hospitality scheduling takes so much time

A restaurant, hotel or caterer plans around peaks you cannot always see coming: a sunny afternoon on the terrace, a group booking at the last minute or an event nearby. At the same time you work with a mix of permanent staff, students with changing availability and extra hands from an agency. Who can work when is often spread across group chats, spreadsheets and loose messages.

Most planners know the result: a roster that is finished on Friday and already wrong on Saturday. A sick call early in the morning means calling and messaging until someone says yes. And only at payroll does it turn out that someone worked too long without rest or that an allowance is missing.

What makes good scheduling software for hospitality?

Good hospitality scheduling software does more than hand out shifts. It accounts for availability, roles such as floor, bar and kitchen, rest periods and collective agreement allowances, and it helps you fill an open shift quickly. Staffyou WFM combines that with your own flex pool and, only if you want it, a marketplace for external flex workers. You pay €0.15 per scheduled hour; the first 500 hours per month are free.

Frequently asked questions

What does hospitality scheduling software from Staffyou cost?

Staffyou WFM costs €0.15 per scheduled hour. The first 500 hours per month are free, with unlimited users and locations. There is no per-user price, so extra part-timers or students in your flex pool do not raise the bill.

Can employees swap shifts themselves?

Yes. In the employee app, employees share their availability and swap shifts. The rules keep applying and changes are visible to the planner in real time.

Do I have to hire staff through Staffyou to use the software?

No. The WFM software works on its own for your own team and flex pool. The marketplace for external flex workers is an option you only use when you need it.

Can I schedule several sites in one environment?

Yes. You work with templates, roles and locations and copy rosters across sites. Per location you see fill rate, cost and no-shows.

How quickly can a hospitality business start?

An implementation takes weeks, not months. A pilot at one location can go live within a few weeks. Rosters, employees and templates are imported via API or file upload.
