Time tracking
Hours reported on paper, in spreadsheets or via WhatsApp cost planners and payroll a lot of time. In Staffyou WFM employees clock in on their scheduled shift and managers approve the hours digitally. Approved hours flow to payroll or to self-billing.

How it works
Clocking in on the scheduled shift
In Staffyou WFM, time tracking starts with the roster. Employees clock in on their scheduled shift, so worked hours are tied to the right shift, location and role. Staffyou ID links whoever clocks in to the verified profile, so you know who was really there.
Looking for a digital time clock? Check-in plays that role for scheduled shifts. A physical clock terminal or kiosk is not mentioned on our WFM pages; if you need one, ask about it in the demo.
- Clock in on location, on the shift
- Linked to the verified profile
- Work ticket per shift with hours
- Digital approval by the manager
Approve, check and pass on
Worked hours go onto work tickets that the manager approves digitally. Staffyou Compliance checks the same rules as at scheduling, now against the hours actually worked: rest periods, maximum hours, allowances and collective agreement rules. You see deviations before they reach payroll or an invoice.
Approved hours flow to payroll. Payroll and HR packages connect through the open API; AFAS is an example we name. For connected agencies, self-billing produces the invoice from the same approved hours.
Hours of temp workers and agencies
If you work with staffing agencies, their people record hours the same way as your own team: clock in on the scheduled shift, work ticket, digital approval. Agencies work through a free supplier portal or connect via SETU, XML or JSON.
For connected agencies, self-billing produces the invoice from the approved hours. So you no longer have to compare separate agency invoices with your timesheets.
One source
One source for your own team and agencies
Check-in, work tickets, approval and self-billing use the same source data. That means fewer corrections, less rework and fewer disputes afterwards. For every shift you can see which rules applied and which check was performed.
On the KPI dashboard you see scheduled hours, cost, no-shows and performance per agency, and you can drill down from national level to a single shift.

Corrections
Corrections and audit trail
Sometimes something still needs correcting: a shift ran over, a break was not taken or someone forgot to clock in. You see that deviation on the work ticket before it goes to payroll or onto an invoice. The manager reviews and approves it.
For every shift you can still see which rules applied and which check was performed. When collective agreement rules change, new rule sets take effect from an effective date, so older shifts stay checked against the rules that applied at the time. The record is kept for the retention period we agree with you, in line with statutory terms and the GDPR.
Background
Why separate timesheets go wrong
When hours are tracked separately from the roster, someone has to match them up afterwards. Who actually worked, when did the shift start and is the break right? With temp workers, you then also have to check the agency’s invoice.
Errors often only surface at the payroll run or in an invoice dispute. By then, correcting them is expensive: an extra payroll round, a credit note or an employee who was paid too little.
